Score your vacation rental team's guest messages for speed and quality with one scheduled Claude task per property and a Monday roll-up

In the Hospitable Community's MCP Builders forum, the host behind The Orange Cabins asked how to run a weekly review of how fast and how well the virtual assistants answer guest messages. Host JenofLions, who connects Claude to Hospitable's MCP server, suggested giving Claude the team's communication guide so the review grades replies against the host's own standard and asking Claude to calculate response times in the same pass; she already runs a Claude Desktop scheduled task every Monday at 9:00 that pulls reviews, booking data and conversion rates for her 3 properties and writes a page in Confluence, and she had Claude build a brand voice guide from her own messaging data so drafted guest replies sound like her. The Orange Cabins host, with 31 properties, and a second host with 5 properties reported that loading every message thread at once overwhelmed Claude. JenofLions traced the failure to Claude's context window and laid out the workaround: one scheduled task per property in Claude Desktop (create the task once, duplicate it and change the property UUID), where each task pulls only that property's threads, scores and summarizes them in under 300 words, and writes the summary to a Google Doc or Confluence page; a separate roll-up task reads only the summaries on Monday morning. A Hospitable team member added the same tip: separate chats per property, then one final chat that combines the results.

How do you handle pulling/reviewing messages?
The Orange Cabins and JenofLions (Hospitable Community) · Forum post · May 1, 2026
First step
Connect Claude Desktop to Hospitable's MCP server, upload your guest communication guide to Claude, and build the per-property scheduled task for your busiest listing first; duplicate the task for each other listing only after the first property's summary reads right.

Compliance note: Tell your virtual assistants that their guest replies are reviewed by AI, keep guest names and contact details out of the shared summary page, and use the scores for coaching rather than as the only basis for firing a team member.

Per-property task (one per listing, swap the property UUID): Using Hospitable, pull every guest message thread from the last 7 days for property [PROPERTY UUID] only. For each thread, measure how long the team took to answer each guest message and grade each reply against the attached communication guide. Write a summary under 300 words: median and slowest response time, the three weakest replies with the guide rule each one missed, and one reply worth copying. Save the summary to [GOOGLE DOC OR CONFLUENCE PAGE] under today's date.
Monday roll-up task: Read only this week's property summaries in [GOOGLE DOC OR CONFLUENCE PAGE], not the raw threads. Rank the properties from slowest to fastest median response time, list the guide rules missed most often across the portfolio, and name one coaching point for each virtual assistant.
