Real estate lead follow-up with AI

These cards show how working agents replace one generic CRM drip with follow-up that matches the lead. The workflows cover writing a five-email sequence from the ad a lead clicked, sweeping Follow Up Boss each morning, sorting quiet CRM contacts by why they went quiet, turning an open-house sign-in sheet into emails, and drafting a follow-up from a recorded call.

Every card names the tools, links the original post, and includes a suggested prompt written by this directory. Review every email or text before it leaves your CRM, and keep the opt-out language your platform and state rules require.

Also on this hub: a mortgage team ranks daily Salesforce follow-ups and drafts each email or text for a loan officer to approve, and an n8n plus Aloware workflow texts a new portal lead with the listing they asked about. Texts and auto-dials stay limited to contacts who already consented.

Paste the ad that generated a group of leads into Claude and get a five-email follow-up sequence written for the person who clicked that ad

Austin agent William Zhang, founder of Real Estate AI Society, runs seven CRM workflows on Claude, and the one he calls his favorite replaces the generic CRM drip with a sequence per lead source. A referral should not get the same emails as a cold Facebook lead, so he pastes the actual ad that produced a group of leads into Claude and asks for one sentence on what the person who clicked the ad wants, then a five-email sequence for that person: day 0, day 2, day 5, day 12, and day 30, each email under 90 words, no restating the ad, one question answerable in under ten words at the end of each email, and email 4 giving something useful with no ask. Claude also lists the assumptions the sequence makes about the lead so Zhang can correct them, and nothing loads into the CRM until he approves the drafts. On a real Austin ad for single-story homes under $350,000 aimed at downsizers, the day-zero email opened on low-maintenance living, no stairs, and quiet neighborhoods. His check: run the prompt on two different ads and compare the two day-zero emails side by side; if the two emails sound the same, the prompt needs work.

Create Follow Up Boss leads from text-thread screenshots and log listing appointment notes by voice from the Claude phone app

Austin agent William Zhang connected Claude to Follow Up Boss with a custom connector he built at Real Estate AI Society (not an official Follow Up Boss product) so he can work the CRM from the Claude app on his phone. When a new lead texts him, he attaches screenshots of the text thread and asks Claude to create the lead, log the conversation, and summarize it. After a listing appointment he dictates a note, such as his repaint recommendation for a seller at 123 Main Street, and Claude logs the note on the seller's contact. He also asks for five people to call today with a reason for each, and has Claude close overdue tasks for leads quiet for 60 days and reschedule the rest. Read tools are set to always allow, and every write action (notes, new leads, tasks) needs his approval. The connector has no delete tools and sends no messages on its own.

Have Claude sort every CRM contact you have not spoken to in 90 days by why the contact went quiet, then draft one re-open text per group

Austin agent William Zhang of Real Estate AI Society calls database reactivation the highest-return job on his list of seven Claude CRM workflows, because every lead already cost money to acquire. With Claude connected to his CRM (Follow Up Boss, through a custom connector he built against the Follow Up Boss API), he asks Claude to pull everyone he has not spoken to in 90 days or more and, before writing anything, group those contacts by why each one went quiet based on the notes and history on the record: never qualified, stopped looking for an unknown reason, lost out on a property, bought with another agent, or past clients he simply has not called. Claude shows the groups with counts, says which group to work first and why, and then drafts one re-open message per group: under 60 words, referencing a specific detail on the record, no 'just checking in' and no apology for the gap, one short question, and no price or market claim that is not on the record. Nothing sends without his approval. He pairs the run with a read-only hygiene list: tasks more than 30 days overdue, contacts with no phone and no email, likely duplicates, contacts with no source, and past clients with no closing date on file.

Turn a recorded CRE owner call into a personalized follow-up email draft with Granola and Claude

PLOT Daily lays out a six-step workflow for commercial real estate brokers: record owner calls in Granola, connect Granola to Claude with the Granola connector, give Claude prior call notes, CRM exports, and property research, and run one consistent prompt that pulls out the owner's situation, objections, signs of motivation, promises made on the call, and the clearest next step. Claude drafts a short email into Gmail, and the broker checks the facts and sends the email by hand.

Rank a mortgage team's daily Salesforce follow-ups in Claude, pick each borrower's channel from the last reply, and draft every email, text and call brief for approval

Vantage Point built a two-phase Claude agent for Jasmine Mortgage Team, an Atlanta residential mortgage team whose CRM is Candid, a mortgage CRM built on Salesforce. Claude connects to the team's Salesforce through the Salesforce MCP connector inside a shared Claude project, and each user's own Salesforce permissions limit what Claude sees. In the triage phase, Claude pulls every open task due today or overdue, ranks each batch from High to Low, and lists red flags such as duplicate tasks, missing email data and unanswered texts. Claude merges the borrower's texts, emails and logged calls by date and recommends a channel: reply on the channel the borrower last used, recommend a phone call when several texts and emails went unanswered, and default to email when the borrower never replied. In the execution phase, Claude drafts the email (sent through Front only after approval), the text (written to Candid and sent through Twilio after approval, then re-checked for delivery), or a call brief of about 50 words. Every draft shows a warning when the record is marked do-not-email, do-not-text or do-not-call. When a team member finishes a task, Claude creates the next follow-up task, timed by loan status, from one business day for new leads to 16 months for borrowers who did not qualify. The team handles 20 to 50 follow-up tasks a day; the case study reports no time-saved figure.

Questions

How do I write a different follow-up sequence for each lead source?

Paste the ad or landing page that produced a group of leads into Claude and ask for one sentence on what the person who clicked wants, then a five-email sequence (day 0, 2, 5, 12, and 30), each under 90 words, with one short question at the end and email 4 giving something useful with no ask. Approve the drafts before anything loads into the CRM. See Write a Follow-Up Sequence for Each Lead Source With Claude .

Can Claude work directly in Follow Up Boss?

Yes, in two patterns on this hub. One setup scores recent Follow Up Boss leads and drafts follow-ups as a morning briefing. Another uses a custom connector from the Claude phone app so you can create leads from text-thread screenshots and log listing-appointment notes by voice, with every write action on approval. See Daily Follow Up Boss Lead Sweep and Drafts With Claude , Update Follow Up Boss From Your Phone With Claude .

How do I re-open CRM contacts that went quiet?

Have Claude sort every CRM contact you have not spoken to in 90 days by why the contact went quiet, then draft one re-open text per group. Send the texts yourself after you review them. See Reactivate Old CRM Leads by Why They Went Quiet With Claude .

Can AI turn an open-house sign-in sheet into follow-up emails?

Photograph the handwritten sign-in sheet, give Claude the photo plus the listing URL, and get a 90–110 word follow-up draft per visitor for approval before any CRM logging. Only email visitors who gave an email address on the sheet. See Open House Sign-In Sheet to Follow-Up Emails With Claude .

How do I check that per-source sequences actually differ?

Run the same prompt on two different ads and compare the two day-zero emails side by side. If the two emails sound the same, the prompt needs work. See Write a Follow-Up Sequence for Each Lead Source With Claude .

What compliance rules apply to AI lead follow-up?

Review every email before it loads into the CRM, keep required opt-out language, and do not let a sequence state a price, rate, or market statistic you have not confirmed. For texts and auto-dials, follow TCPA consent rules and your state calling-hour rules. See Write a Follow-Up Sequence for Each Lead Source With Claude , Daily Follow Up Boss Lead Sweep and Drafts With Claude .
